Administrative Assistant to the SuperintendentReports To: Superintendent
FLSA Designation: Non-Exempt
Job Goal: To provide administrative services of a highly confidential nature to the Superintendent and members of the Board, assist the Superintendent and the Board in carrying out their duties and responsibilities, and foster excellent public and community relations for the Superintendent and the Board of Education.
Minimum Qualifications:
A. High school diploma (Some college preferred)
B. Proficiency in typing and computer/technology skills
C. Working knowledge of basic office procedures and the operation of common office equipment, machines, and software programs
D. Composition skills that demonstrate a mastery of grammar and spelling
E. Five years of related experience
F. Such alternatives to the above qualifications as the Superintendent and Board may find appropriate and acceptable
Skills and Physical Abilities:
The employee is regularly required to speak, listen, walk, stand, sit, use hands for fine manipulation, handle or feel, and reach with hands. The employee may occasionally be required to stoop, kneel, lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, ability to focus, and peripheral vision. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Must be able to deal with problems involving several concrete variables in standardized situations. Ability to multi-task and to prioritize tasks efficiently. Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.
Performance Responsibilities and Essential Functions:
1. Serve as confidential secretary and administrative aide to the Superintendent and the members of the Blount County Board of Education.
2. Obtain and maintain notary status.
3. Solicits and collects Board Agenda items from administrators to prepare the agenda for upcoming Board meetings. Distributes the agenda to Board Members prior to the meetings.
4. Takes minutes of meetings and proceedings, and within a reasonable time after the close of the meeting, distributes to affected stakeholders.
5. Following meetings - Has agreements, deeds, etc., signed and notarized with copies and originals being distributed to departments as needed. Prepares for the Superintendent follow-up letters, memoranda, resolutions, etc.
6. Coordinates with the Superintendent the dates for Board meetings and maintains the Board conference room for meetings and coordinates the calendar for availability.
7. Maintains an orderly file of all Board minutes, agendas, and a variety of privileged, sensitive and confidential, documentation in the Board office.
8. Receives, sorts, reads, routes mail, and other forms of correspondence and inquiries addressed to the Superintendent.
9. Acts as liaison between Superintendent and Board members, employees, governmental officials, parents, and community members.
10. Responsible for maintaining the highest degree of security and confidentiality regarding student and staff personally identifiable information as it relates to Board Policy, FERPA, Blount County Security Use Agreement, any and all state and federal guidelines, laws, and statues.
11. Schedules/coordinates the Superintendent's calendar and appointments.
12. Receives, sorts, reads, routes, and responds to routine mail and other forms of correspondence and inquiries. Types letters, memorandums, speeches, and other materials for Superintendent. Screens the Superintendent's mail and composes, organizes, and edits letters, memorandums, reports, and other materials per verbal instructions or upon initiative.
13. Provides clerical support to the Assistant Superintendent as needed.
14. Provides administrative support to Central Office clerical staff as needed or as directed by the Superintendent.
15. Disseminates job postings
16. Performs other duties as assigned by the Superintendent or designee(s).
Terms of employment: 240-days
Daily work schedule will be determined by the Superintendent or his/her designee for the necessary operations of the Central Office. Work assignments and schedules are subject to change.
Salary: Approved salary schedule for the Administrative Assistant to the Superintendent is located on the Human Resources webpage. Annual salary is based on a 40-hour week with daily full-time equivalent of 37.5 standard work hours.
Evaluation: Performance will be evaluated in accordance with the support personnel evaluation system and board policy.
